Swap
Use Schedule
Swap to exchange schedule segments between employees. The schedule
itself remains the same; it's the employee assigned to the swapped segment
who is different. (Note that prior to using Schedule Swap you must configure the process
and create a new pay type.)
To use Schedule
Swap:
- On the Schedule
tab click Schedule Swap.
- Enter, or click
to select from a pop-up list, the names of the employees
whose schedules you want to swap. Note that the employee on the left is
schedule From; the employee on
the right is schedule To.
If you want to reduce the number of employee
names appearing in the drop-down list, you can filter employee names by
department. Click Dept to display
a list of departments, select the departments from which you want
to choose employees. Note that this filter remains active even after you
log off. To remove the filter, click Dept
clear the check mark from the header row.
- Enter the Date
From and Date To week in
their respective text boxes. You
can enter the dates manually, or simply click
to choose
the dates from the pop-up calendar.
- Click Go
to display each employee's schedule. If the employees are exchanging schedule
segments that occur on different days, both employees' schedules are displayed
beneath each date.
- Select the
schedule segments you want to exchange.
- Click
to select from the drop-down list a pay type for this exchange.
- Click Swap
to swap the schedules. The view refreshes to reflect your changes.
- You can view prior schedule
exchange activity for each employee for the selected day by clicking the
Audit button closest to
his/her name.
Note(s):
- An employee's Schedule
button appears in pink if he/she has exchanged schedule segments during
the current period. If you click this button to view the schedule, you
will see a link beneath Position
on each day that a schedule segment was exchanged. Click this link to
view the details of the exchange.
- Swapping schedules between two
employees whose schedules overlap requires changing the master schedule
of one of the employees ensuring there is no schedule overlap. Next, swap
their schedules. The swapping of the schedules (although overlapping)
is done as expected.
